Receptionist/Office Administrator

To provide an efficient administration support service, alongside assisting reception in a front of house role when required.

Responsibilities:

Receptionist Duties

To provide a front of house service and work alongside one other colleague on reception. Duties may include but are not limited to:-

  • Welcoming visitors by greeting them, in person or on the telephone, answering or referring inquiries
  • Directing visitors by maintaining employee and department directories; giving instructions
  • Maintaining security by following procedures; monitoring logbook, issuing visitor badges
  • Visitor flag management
  • Coordinating and managing the meeting rooms, providing refreshments and lunches when required
  • Managing the pool car system and bookings
  • Preparing instrument books and in-house user guides
  • Creating training certificates for UK Sales and Technical Support
  • Overseeing the post system and franking post when required
  • Completing stationary orders and managing stock levels
  • Maintaining a safe and clean reception area by complying with procedures, rules and regulations

Administrative Duties

To provide a generalist administration support service to the Directors, Senior Managers and Organisation as appropriate. The duties may include, but are not limited to:-

  • Booking European travel for employees & managing all visitor travel
  • Sending out supplier appraisals for QA and updating the database
  • Assisting with visa applications where required.
  • Updating internal systems when required

Other Duties

  • Maintaining confidentiality at all times.
  • Any additional duties that are deemed appropriate that are within the job holder’s capabilities.
  • Compliance with appropriate regulatory and legal requirements.


About You: 

Experience

1-2 years’ previous administrative experience
